TENNIS RESERVATIONS & POLICIES

Meadows Residents:

Residents can register in CourtReserve for a fee of $25. Residents wishing to register for any programs need to have a current “Renaissance Access Card Number” in order to obtain a Resident Program. Registered residents are automatically Pay-Per-Play participants and play at the “Pay-Per-Play” rate unless they upgrade to a “Player-Pass” program. Registered residents can reserve court times (through CourtReserve) up to six days in advance.

 Non-Residents:

Non-Residents can register in CourtReserve for a fee of $75. Registered non-residents are automatically Pay-Per-Play participants and play at the “non-resident Pay-Per-Play” rate unless they upgrade to a “Player-Pass” program. Registered non-residents can reserve court times (through CourtReserve) up to six days in advance.

Non-residents can register in CourtReserve by installing the app, or by calling the tennis pro shop for assistance. Non-residents must be a registered program participant, or a guest of registered participant, or a guest of a resident.

Meadows Tennis reserves the right to charge all participants for court and ball machine usage. Meadows Tennis reserves the right to charge any unpaid guest fees to the Sponsoring Participant or Booking Owner.

Reservations

Tennis Courts are available to Registered Participants for social play from 8am until 9pm daily.

Bookings are for 90-minute sessions. 30-Minute and 60-Minute sessions may be booked after 11:00am but will be billed at the full 90-minute price (for Pay-Per-Plays). Multiple sessions  in the same day (for Pay-Per-Play’s) will be billed at full price.

All players are required to check in prior to play, (unless they are playing at a time when the pro shop is closed). If playing at a time when the pro shop is closed, play on the court shown on your CourtReserve App (unless wet). Fees will be applied to your payment profile the following day (Pay-Per-Play’s & guests).

If unable to make your booking, you must cancel your court in Court Reserve. All bookings will be charged unless cancelled (PPP’s & guests). Anyone playing without a booking is subject to loss of playing privileges.

Pay-Per-Play’s and guest payments are typically processed at check-in. In the event of rain, if play is halted prior to 45 minutes into your time slot, any processed fees (PPP’s & guests) will be refunded to the player’s card on file. If courts are used for 45 minutes or more, full fees are charged.

The tennis staff reserved the right to close courts whenever necessary.

Guests

Three guests are allowed per registered player per time slot (guest fees apply). Guests must always be playing with at least one registered participant or resident.

There is currently no limit on the number of times someone can play as a guest. Guests must always be listed on the booking and check-in  prior to play. If payment is not remitted by the guest at check-in, guest fees will be charged to the sponsoring player or booking “owner”.

Court Conditions

The Tennis Staff reserves the right to move courts at any time due to weather/court condition reasons, maintenance reasons, or grouping/operational efficiency reasons. Players are never guaranteed the court they request when booking and should always verify their court placement when checking in at the pro shop desk.

Court Conditions can be found on the CourtReserve Homepage. Please refer to this rather than calling the pro shop.

Play on the tennis courts is at your own risk. Play is not allowed when courts are excessively wet or when lightning is within 5 miles.

During Pro Shop Hours: One horn blast indicates lightning within 10 miles—be aware. Two horn blasts indicate lightning within 5 miles—discontinue play and exit the courts.

Billing:

All players must check in prior to play, regardless of your participation category. Non-registered players/guests must pay at check-in, prior to play. All unpaid guest charges will be billed to the guest’s accompanying participant, or if this is not evident, to the booking’s “owner”.

Pass holder’s cards-on-file are charged on the first of the month throughout the duration of their Pass term. At the end of their Pass term, if a Pass is not renewed, they will revert to Pay-Per-Play status.

No refunds will be given for Pass-Holders wishing to opt out of the purchased Pass before its term. If a monthly-paying Pass-Holder opts to exit their Pass Program early, they will be obligated to pay the balance dur for all months remaining in their selected Pass.

Pass Programs are for consecutive months and may not be broken up.

Passes may be put on pause for serious medical circumstances for up to 90 days. A medical notification from physician must be provided and will be addressed/approved on a case by case basis.

Any disputes on billed fees can be brought to the Director of Racquets for review. Any charges deemed to be incorrect by the DOR will be refunded to the card on file.

If a booked court is a “no-show”, the booking’s owner will be charged for the court.

Registered participants should be prepared to be asked for verification by staff or MCA Safety that they are registered participants, especially after pro shop hours. Showing your CourtReserve player profile (your homepage) is the easiest way to show that you are a Registered Program Participant.

Meadows Tennis Policies are currently posted on the Tennis Deck and on CourtReserve.

General Rules:

Abusing booking policies or other policies could result in a loss of booking privileges or playing privileges.

Any large tennis events must be approved by the Racquets Director (RD) seven days prior to the proposed event.

The Racquets Director (RD) can allocate courts and court time to special events at his/her discretion, including facility events such as round robins, intra-facility tournaments and league matches, BuddyUp Tennis, inter-club league matches, outside tournaments and outside exhibitions.

Group coordinators (those who manage groups of 8 players or more) may request Coordinator Access on the CourtReserve System from the Racquets Director. Group Coordinators may book multiple courts at a time and enter players’ names at a later time. Bookings that are lacking player names 24 hours prior to the requested playtime may be deleted from the court sheet.

The Ball Machine is available to Registered Users only and is bookable on CourtReserve. Ball Machine is available after 11am Monday through Saturday, and 8am on Sunday. The ball machine is available only during pro shop hours unless approved by the Racquets Director.

The Hitting Wall is for Registered Participants and is for Tennis use only. No Pickleball, soccer, or other activities permitted.

Proper tennis attire. Court shoes are required. Running shoes are not considered court shoes. Shirts are to be worn at all times. No cut-off shorts, cut-off sleeves or tank-tops (men). Court access may be denied if the dress code or shoe code is violated.

No loud obscenities and no aggressive behavior, physically or verbally. No damage or abuse to Meadows property at any time.

Abusive language or actions toward other players or staff will not be tolerated and will result in the loss of tennis privileges.

Smoking is not permitted in the tennis facility or on the grounds of the Meadows Sports Complex.

Alcohol is not permitted in the tennis facility or on the grounds of the Meadows Sports Complex.

No dogs or pets are allowed in tennis facility unless it is a service animal.

No personal golf carts are allowed in the tennis courts unless medically prescribed and approved by the Director of Racquets. Personal or rented Golf Carts may be parked in the designated Cart Parking Lot adjacent the hitting wall.

No bicycle riding in the tennis grounds, please walk your bikes to the bike racks.

Please silence phones and avoid loud conversations around the tennis courts.

Do not approach the courts or the canopies until your session’s start time. Approaching canopies prior to your play time disrupts the existing players.

Items left in open lockers are at the responsibility of the owner, The Meadow Community Association (MCA) is not responsible for lost or stolen items.

No solicitations or posting of any flyers.

Lost and Found items will be kept in the tennis pro shop for 60 days before being taken to Goodwill.

All player complaints should be directed to the DOR verbally or by email.

League Play:

Registered Participants may captain and assemble League Teams and participate in local leagues using The Meadows Courts as their home courts. The team rosters are at the discretion of the team captain.

Any league team that intends on using The Meadows as their ‘home facility’ must have the approval of the Meadows Racquets Director prior to the team’s formation.

USTA, Tri-Cities and Suncoast League Team Players (excluding Flex Leagues) playing with The Meadows as their ‘home facility’ must be Pass-Participants for at least 3 consecutive months in the season they are playing. A player may wait until the month they begin playing to begin their pass and then must continue to be a pass-participant throughout the remainder of the season.

Visiting teams for approved league teams do not have to pay court fees.

Visiting players for Flex Leagues do not have to pay court fees unless our players are Pay-Per-Play Participants.

Local League matches play at 11:30am unless approved by Racquets Director. Flex League matches must be played at 9:30am or later and denote this (flex match) on your booking.

Pros and Lessons:

Pros other than the Racquets Director are Independent Contractors (IC). All IC Pro’s lessons, scheduling and payments are handled directly through them. Their lesson rates may vary.

Pros can begin lessons beginning at 7am daily.

No outside pros (other than our approved IC pros) are permitted to instruct on our courts, even if no compensation is being transacted.

Emergencies:

In case of any medical emergency, call  911.

(Then call Meadows Safety at 941-809-0084.)
